Privacy notice

This notice explains how MatnikAI ("we", "us"), an AI and machine-learning consultancy based in Arlington, MA, handles personal information submitted through matnikai.com. We collect only what we need to respond to your enquiry and deliver our services, and we never sell it.

Information we collect

Account details you provide when registering: name, email address, organization, role and, optionally, a phone number. Passwords are stored only as salted cryptographic hashes; we cannot see them.
Case submissions: the descriptions you enter and any files you attach.
Technical data recorded automatically by our hosting platform when you visit the site: IP address, browser type, pages requested and timestamps. We use it only to operate and secure the site.

Cookies

We use only cookies that are strictly necessary for the site to work: a session cookie that keeps you signed in, and a CSRF cookie that protects forms against forgery. We do not use analytics, advertising or tracking cookies, and the site loads no third-party scripts.

How we use your information

To assess and reply to your enquiry or case, and to prepare a proposal.
To deliver an engagement you have agreed to.
To operate your account: email verification, password resets and status updates on your cases.
To keep the site secure and to meet legal obligations.

We do not use your submissions or attachments to train AI models, and we do not share them for that purpose.

Who processes your information

We do not sell or rent personal information. We rely on a small number of service providers who process data on our behalf, under their own security and privacy commitments:

Microsoft Azure hosts the website, its database and file storage, in the United States (Central US region).
Cloudflare provides the domain name service for matnikai.com.
Our email provider delivers account and case notification emails.

We may also disclose information when required by law, or to protect our rights or the safety of others.

Where your information is stored

Your information is stored in the United States. If you are outside the United States, your information will be transferred to and processed there.

How we protect it

All connections to the site are encrypted (HTTPS), and data is encrypted at rest in our database and storage.
The database is on a private network and is not reachable from the internet.
Case attachments are stored in private storage. Only you and MatnikAI can download them.
Accounts require a verified email address and a strong password.

Please do not upload highly sensitive or regulated data, such as health records, payment card numbers or government identifiers, unless we have agreed in advance on how it will be handled. If a submission contains confidential or regulated data, tick the sensitive-data box and describe it first. We will agree on a secure exchange before you send it.

How long we keep it

Account details are kept while your account is active.
Case information and attachments are kept for the duration of the enquiry or engagement. Enquiries that do not lead to an engagement are deleted 24 months after the last activity, unless we must keep them longer for legal reasons.
Deleted data may remain in encrypted backups for a short period: up to 14 days for database backups and up to 30 days for file storage, before it is permanently removed.

Your choices and rights

You can update your profile at any time. You can also ask us to give you a copy of your information, correct it, delete your account and submissions, or stop processing it. Depending on where you live, you may have additional rights under local law, and we will honour them. We will respond within 30 days.

If you are in the EU, EEA or UK: we process your information to take steps at your request before entering into a contract and to perform that contract, and, for site security, on the basis of our legitimate interests. You may lodge a complaint with your local data protection authority.

Children

This site is intended for business use and is not directed at anyone under 18. We do not knowingly collect information from children.

Changes to this notice

We will update this page when our practices change, and revise the "Last updated" date above.
